Guest count is the lever that moves almost everything else. Catering, bar, rentals, favours, invitations, and table count all scale with it, so trimming a list is usually far more effective than negotiating individual line items. Start with the per-guest cost tool before committing to a venue, since a headline hire fee can hide a required minimum spend. Two practical notes: venue capacity quoted by a space is often the standing figure, and a seated dinner with a dance floor needs considerably more room; and a realistic plan assumes some proportion of invitations will decline, though relying on that is risky for a local guest list. Vendor contracts, service charges, and local tipping conventions vary widely, so use these figures to build a draft budget and confirm every number with quotes.
