Checking venue capacity
Venues typically publish two capacity numbers: seated capacity (guests with a full sit-down dinner setup, including tables, chairs, dance floor, and other furniture) and standing/reception capacity (a cocktail-style layout with less furniture, which can usually hold more people).
Fire codes and safety regulations set the hard upper limit for standing capacity, while seated capacity is often lower simply because tables and chairs take up more floor space. If your guest count is close to either limit, ask the venue directly rather than relying on published averages, since exact layouts vary.
Example: a venue rated for 150 seated and 200 standing can comfortably seat 120 guests for dinner with room to spare, but the same venue would only fit 180 guests seated with a 30-person shortfall — you'd need to either trim the list or switch to a cocktail-style reception.

Why is standing capacity higher than seated capacity?
Seated dinners require tables, chairs, and aisle space for service, which takes up more square footage per guest than a standing cocktail-style layout — so venues can safely fit more people standing.
What if my guest count is right at the limit?
